Funding guidelines
What will be funded:
- the costs associated with accommodating a community group on a continuous basis, including rent, rates, regular venue hire, regular hire of a sports
field (for sports groups) and leases
- accommodation for premises located within Auckland city boundaries
- community groups whose majority of services or benefits are provided to residents in the Auckland region
- accommodation costs expected to be incurred from January to December following the application closing date.
What will not be funded:
- accommodation costs for premises located outside Auckland city boundaries
- community groups who provide the majority of their services or benefits to residents outside the Auckland region (eg national or international groups)
- occupancy costs (eg car parking, insurance, water, telephone, power, maintenance, body corporate expenses, hire of training field lights)
- debt servicing (eg mortgage or interest payments)
- building and/or renovation costs
- institutional property owners, such as government departments
- service providers primarily funded by central government
- philanthropic agencies (ie a group whose main purpose is to make grants or donate to others through funds received)
- retrospective accommodation costs (ie costs incurred before 1 January following the application closing date)
- groups who exist to provide residential care or supported accommodation (excludes night shelters)
- accommodation costs that are not ongoing (ie venue hire for a specific or one-off event or programme)
- accommodation costs associated with private residences (eg if a group meets regularly at a member's house or if a group member's spare room is used as
office space for the group)
- accommodating a group in a motel or hotel
- groups clearly not maximising their accommodation needs (eg a small group hiring a very large space; a group that owns a large and expensive property
that they rarely use and do not allow other community groups to use)
- groups in operation for less than 12 months.

The 2008 funding round closed at 5pm on Friday 3 October 2008.

Deadline
It is very important to make sure that your application is received at the Auckland City
Council Queen Street office before the round
closes. We cannot accept late applications, whether by post, courier or hand delivered. We do not accept applications by fax or email.

If you have a query about what a question on the form means, you can contact us and talk to one of our
community advisors. They can clarify anything you're not sure about but will not fill in the form for you.

What happens to your application
October and November
- applications arrive at Auckland City Council's Queen Street office before the deadline
- applications are prepared for assessment and are allocated to an assessor
- the assessor will check your group's funding record to see whether you have been accountable for previous grants from Auckland City
Council. They may need to
contact the person who completed the application form for more information about the group or the application (this person must be contactable during the
assessment period)
- the assessment team meet to discuss each application and to ensure equity between their recommendations for funding
- assessor's recommendations on each application are prepared to be put to senior management at Auckland City
Council.
December
- unsuccessful applicants are advised of the outcome of their application
- payment is issued to the groups who have been granted funding.
- a list of successful applications is published on this site
General advice from the assessment team
- attend one of our free information sessions so that you are clear on what will and will not be funded. Community advisors attend each session and can
talk to you one-on-one about your application and any difficulties you may be having completing the application form
- do not leave the completion of your application until the last minute. Give yourself plenty of time to think about the information that is required and
to assemble the necessary quotations and financial information that is requested
- contact us and ask to speak to a community advisor for assistance, or make an appointment to see them if
you have any queries about your eligibility or about completing the application form. Do not leave it until the day the fund closes as this is one of
our busiest days of the year and we may not have the resources to assist you at this time
- make a copy of your application form for your own records before you submit it (do not ask Auckland City
Council to make a copy for you). The information will be
right in front of you when the assessor calls and if your application is successful it will be useful as a good example of how to complete future
applications for funding
- in order to ensure that your application meets the deadline, do not rely on posting it the day before.
